EXCLUSIVE: The part that fits and the part that’s right

The answers clustered around complying with environmental regulations, reducing operational risk, and balancing investment costs against returns. Not one respondent mentioned spare parts.

And yet the two findings that stayed with me most point directly to where spare parts risk enters a fleet. 68% of leaders said prevailing unpredictability makes prioritisation a constant challenge. 42% said balancing investment costs against return expectations is a persistent concern. Both pressures do the same thing at the point of purchase, pushing decisions toward whatever is quick, available, and cheaper. That is where spare parts risk gets built in, quietly, and often stays hidden for years.

What a reasonable purchasing decision under time pressure actually looks like is worth thinking through. A vessel is at berth, a part is needed, something compatible is available that fits the specification on paper. But compatibility on paper and behaviour inside a working propulsion system over years of operation are not the same thing. Tolerance interactions, material variation, wear characteristics: these differences rarely announce themselves as immediate failure. They surface as repeated interventions that are hard to explain, as fuel consumption that drifts slowly from the baseline, or as secondary wear on adjacent components that only becomes visible during the next scheduled overhaul.

The most difficult moment comes later still, when a compliance check, an incident review or an insurance query requires not just a fix but a full account of what was fitted, when, and why. That explanation depends on documentation and component history that may not exist, or may be incomplete, because at the time of the original decision it may not have felt like something with immediate consequences.

While a part may appear equivalent on paper, it may not perform the same way across years of operation in a complex propulsion system. Spare parts decisions are often made under pressure, and treating documentation as secondary can seem like a reasonable compromise in the moment. Vessel systems do not operate in isolation either. Interactions between components across the wider propulsion train can often cause unintended effects. These choices can feel rational in the moment, made with good intentions and under genuine commercial constraint. The difficulty is that the costs can surface later, and the people managing the impact might not even be the people who made the original decision about which spare parts to buy.

Propulsion systems offer little margin for this kind of accumulated uncertainty. Engines, fuel systems, automation, shaft lines and propulsors interact continuously, and 56% of the leaders we surveyed said anticipating and handling unexpected challenges is already a continuous struggle. An unexplained drift in system performance is precisely the kind of challenge that is hardest to address, because by the time it becomes visible enough to investigate, the trail is cold.

Getting this right is not about perfect decision-making. The ‘At the Helm’ report frames it well: the solutions you invest in today need to be optimal for today and upgradable so that they remain so in the future.

That logic tends to get applied to major capital decisions. It applies equally to the smaller ones that determine how a system behaves across the years in between. Maintaining a long-term service relationship means component history stays intact, documentation remains traceable, and performance can be explained when someone asks. That continuity is not simply service coverage; it is what makes a vessel’s history accurate and accountable when it needs to be.

Spare parts will not lead a fleet strategy conversation. But when a compliance check surfaces a documentation gap, or an insurer asks what was changed and when, the purchasing decision from a few years earlier becomes central very quickly. The sensible time to treat it seriously is while the choice is still straightforward to make.
